How do I sync tasks to my calendar?

January 17, 2011 | 18 Comments

You can automatically sync all your tasks that have due dates and tasks that are in your “Today” folder to any calendar that can subscribe to .ics calendars. This includes Google Calendar, Mac OS X iCal, and many more. Currently we only support one way sync. What that means is that any changes you make on the iPhone or Web App will get synced down to your calendar, changes made in your calendar do not get reflected in your web app or iPhone app.

To sync your tasks with your online calendar:

You will first need to be logged into your ‘Get It Done’ account: http://getitdoneapp.com

1. Click on ‘Subscribe to Calendar’ in the ‘Export’ menu at the bottom of your screen:

Export Menu

Export Menu

2. Click ‘Enable calendar syncing’ check box:

Calendar Sync

Calendar Sync

Show items that have due dates

If this option is checked, any task that has a due date will show up in your calendar on the specified due date.

Show items in my ‘Today’ folder

If this option is checked, ALL of your tasks in your ‘Today’ folder will show up in your calendar under today’s date.

Is there a way to sync calendar with iPhone’s mobile me?

  2. Mike 'Get It Done' Staff 7 Feb 2010

I’m not exactly sure but I know you can subscribe to the calendar through iCal. I am thinking if you do this they should also show up in your mobile me.

I subscribe to my Get It Done calendar through Google Calendar and then sycn my iPhone with Google calendar. This way I see all my tasks on my iPhone calendar.

A few people have been emailing me saying their tasks are not showing up in Google Calendar immediately. This is known problem with how Google Calendar does calendar subscriptions, there is no way for you to set an update interval or manually reload the calendar from Google Calendar.

I am seeing update times of about a few hours right now.

Maybe if enough people complain to Google they might fix this bug?

Can I sync from Outlook Tasks into your app?

Before Christmas I was happily syncing my Outlook tasks, carefully laid out in GTD format, with Pocket Informant on my HTC phone. For Christmas I got an iPhone. But I cannot find any apps which sync to and from Outlook Tasks and have a good user interface.

I have several hundred tasks (I know, in contravention of the GTD rules), the Outlook categories set up as @CONTEXT and project fodlers, and can quickly move emails to my todo list. I do not want lose all that. So I am very keen for an app with a good user interface that also syncs with Outlook Tasks. So far all the apps I have tried have failed on one or the other.

Your app looks like it has a great user interface but no sync to/from Outlook tasks – is that right?

you are correct, we do not sync with outlook tasks. I’m not sure what apps are out there for that.

    Thanks…but I have a PC, so I don’t have iCal.
My only calendar function is currently online through mobileme.com

My “today” items are not showing up in iCal. I have set the preferences on get it done and the iCal shows a get it done calendar subscription icon to the left of iCal. On iCal, I put in my get it done url into the subscribe to calendar option and also refreshed it. Still, nothing shows up i iCal.

I got the synching to work with iCal. Thanks anyway.

Did I miss something along the way? How do I get my Outlook tasks and calendar into Getitdone? Now all I have is another list of tasks or another task keeper. I need to Sync them all.

    Hi Mike
I have recently taken your 1 year package and am currently utilizing this for my To-Do list. It is very user friendly and a great app. I am also using the ipad app which sync with the web version.
Had a few comments on the outlook sync. I had installed the Outlook sync and it works perfectly. The only issue is that any overdue tasks which shows say 2 days late will not appear in today tasks but will show in the tasks which are 2 days back. Is there a way for these unfinished tasks to show in the current calendar date since otherwise we might miss out on these tasks..

I’ve tried to setup calendar sync with Google calendar, but it won’t accept the link, I get the following error message when adding by URL:

Failed to add imported calendar at http://www.getitdoneapp.com/ical.php?aid=XXXXXXXXXXX for XXXXXX@gmail.com

I’m currently on the 15 days trial, I would like to know whether this works before I purchase :)

can you try to use the link webcal:// instead of http://?

    @Michael

Have a look at remember the milk. not so fully functional as get it done, but does sync everything with everything. and, i you use outlook on a pc (and not outlook express) you do can use iCal import in the calender.

    @Mike
I am new today here, so maybe this reaction is misplaced, but I would like to say that gid looks interesting. The only two thing a really dislike is that you sync with outlook calender and not tasks and connected to that it is not possible to set a time you want a reminder of a tasking waiting to be done. (oh yeah, the folders of evernote are not alphabetical…)

    hope you add it.

    Kind regards,

    Gert

Try press Ctrl-F5 in IE. This will do a hard refresh of the page. Then try Add URL. This WILL fix the Failed to add imported calendar at problem.

I have setup my calander sync with Google and Outlook. It works great, only the calander doesn’t sync with my Iphone… Somebody have a solution or know this problem?

  16. Mike 'Get It Done' Staff 16 May 2011

if you go to m.google.com/sync on your iPhone, you should be able to choose the calendars to sync to your phone:

    Hi Mike,

I see that I can sync my scheduled tasks to the calender on a specific day, but not on specific time. This also brings up tasks having a due date but not due time(so to speak). Can we have a feature such as that.

    Sumit

    Hello,
I second the motion to add a ‘schedule’ day AND time for tasks. This is critical for me. This app would be perfect for me if I could create tasks from my Evernotes and also be able to schedule each of my tasks with times and dates (As well as fill in the alarm/alert features that I currently use on my iPhone calendar) so that when I sync the schedule with the calendar, the times and alarms would already be in place as far out as I wanted to schedule (not just todays stuff). Would that be possible? Thank You!
