How-to manage my tasks?
January 17, 2011 | 42 Comments
First you need a Get It Done account: http://getitdoneapp.com. After you’ve set one up and logged in, there are 3 ways to add tasks in Get It Done.
1. When you are in http://getitdoneapp.com, just type in the “Quick Add” field at the top right corner of the window. When you’re done typing, just press “enter” or “return” key and it will get added for you. If you are already in a particular tag, then the task will get added with this tag. This is a great way to clear your head of all your tasks very quickly and easily.
2. Alternatively, you can click the “Add New Todo” button at the bottom left of your window. This will give you more options like tags, attach files, due date, and more.
3. The third way (and my favorite way) is to email tasks to Get It Done. If you go into your settings link located at the top right of your window, you will see your unique @GetItDoneApp.com email address. I suggest you put this in your address book so that any time you get an email which will require your attention, you can simply forward the message to your unique Get It Done email address and we automatically add the task for you (attachments and everything)! How cool is that?! This is handy when you have a verbose attachment-happy boss who has oodles of information about a particular task you need to do.

How do I delete a task? The Delete key does not appear to work, and checking completed is definitely NOT the same as Deleted. Thanks.

Completed Items should be where you put any task that you do not need anymore. To empty the completed Items folder click on the ‘erase now’ link under your settings.
We have been getting many requests for deleting single tasks, we will consider adding this in a future version.

HI,
I bought the Iphone app and I would like to know if you plan to have the “people” section added soon ?
Thanks.
Mike 'Get It Done' Staff 6 Feb 2010
People and Scheduled items will be in the next big release of the iPhone app. We do not have a definite date yet but we are working on it.

How do I search tasks by tag?
Mike 'Get It Done' Staff 9 Mar 2010
You can filter by tag by just clicking on any of the tags on the top of the screen. If you want to be able to list all of the tasks that have a particular tag you will need to set up a project and add that tag to the project, this will list all your tasks that have that tag.
The find category just searches the title and/or the notes

Hi
Are there any plans for subtasks – so that tasks can be broken down into actions – or is that the definition of a project.
Mike 'Get It Done' Staff 22 Mar 2010
Currently I use projects when I want subtasks. We are toying with the idea of using milestones to further break down projects which will act very much like sub tasks

Do you or will you soon have an iPad app?

Our next version of our iPhone app will be iPad compatable

Hi Mike,
When creating repeating tasks you are able to tick the checkbox “Each copy has a due date. It is created 1 days before it is due” which in the instance of a daily repeating task, labels it as being “due today”.
However, currently with repeating tasks, on the day that it is set to repeat the task automatically appears in the inbox.
Would it be possible to instead have repeating tasks treated like the scheduled ones so that on the day they are due, they appear in Today? Or when setting up repeating tasks, to have another checkbox that gives you the choice of having them automatically appear under Today?
This is where I would expect to find tasks when set to repeat on set dates and would be so much more helpful…

I am trying to send email to become tasks in the getitdone app. I have changed the timezone, etc. Still the email is getting bounced back to my email address as a delivery failure… I copied the getitdone email address of numbers into the address to line — and email/task does not go into the app and I get a “delivery failure in my email.
What am I doing wrong>?
Thanks
Mike 'Get It Done' Staff 17 Mar 2011
Hi Debra,
You will receive an email from me, it would be better to debug this through email so that your get it done email is not public.

I’m a brand new user and was excited about the feature to forward email to my inbox. I am frustrated, however, that once an email is forwarded to Get It Done, the addresses and links contained in the email are no longer live. This renders many emails useless. (When I forward email to Evernote, in contrast, the links and addresses remain fully functional so that I do not have to go back and find the original email in my mail archives. This is a big deal in terms of the functionality of this feature. Please help!! Thanks!
Mike 'Get It Done' Staff 20 Apr 2011
thanks for the feedback, we will keep this in mind for a future version
Olivier 20 Apr 2011
i didn’t find a way to modify several tasks together (add tags or change area for example). Is this possible?
Other question, is it possible to define the area while creating a task via email?
thanks!
Mike 'Get It Done' Staff 20 Apr 2011
Currently there isn’t but those are good ideas, thanks for the feedback

Often when I send an email to my @GetItDoneApp.com email address, the message never makes it to the GetItDoneApp InBox. I have not figured out why sometimes it works and sometimes it does not.
Mike 'Get It Done' Staff 9 May 2011
please make sure the address is in the To or CC field, we do not support the BCC email field.

Just started my free trial. The iPad app cannot see attachments emailed into GID, nor can the iPad open attachments on the website via Safari. Any suggestions?
Otherwise, a pretty awesome service so far.
Mike 'Get It Done' Staff 5 Jun 2011
Hi Jeff,
Attachements are not supported on the iPad app, if you go to getitdoneapp.com in safari you might be able to certain types of files but it has not been tested yet.

Hi, is there a way to see all the tasks you have on one screen regardless of whether they are Today, Next, Scheduled etc. I can emulate this by searching on a space which brings them all up. It would be useful for printing off in one go when not online.
Mike 'Get It Done' Staff 14 Jun 2011
thanks for the suggestion, currently the only way to see all the tasks at one time is to use: Export -> save as spreadsheet
Bettina 30 Jun 2011
Hi, I can’t seem to figure out how to add a working url / link into a note for a task (i.e. locations, websites that I have to go to for a task etc.)
What am I missing?
Need help, please

Is there a way to have Tasks display in order of due date? Currently, when I see Tasks under Next, for instance, they are ordered randomly. It would be very helpful to have the most urgent Tasks at the top of the list, and those with more time allowed to be further down in the list.
Mike 'Get It Done' Staff 6 Jul 2011
Currently there is no way to reorder by due date, but you can tag tasks that are more urgent than others. I use a tag ‘urgent’ and mark any tasks that I definitely need to get done first.

How do I archive completed tasks? Also, how do I archive the completed tasks within a project? I currently find completed tasks in the trash. Some completed tasks I don’t mind deleting. However, some, especially completed tasks inside a project, I need to keep.
Mike 'Get It Done' Staff 13 Jul 2011
Hi Larry,
The best way to archive projects is to create a new ‘Area’ called ‘Archived’ and move the project to that area. This would be a good way to archive projects.
AJS 22 Jul 2011
The problem with creating a new Area called “Archived” is that all the completed projects show up in the “All Areas” view. This is a view I use quite frequently as I don’t want to lose sight of the various inboxes assigned to each area.I don’t want this view cluttered by projects that are no longer live so I would just trash the old projects as things are. A record of old projects would be handy but not at the expense of current work.
Ihor_A 8 Aug 2011
Would be able to subtasks and subprojects? Your competitors will win on this one.
Mike 'Get It Done' Staff 8 Aug 2011
We feel that tags are a good way to break down a project or group together tasks. Many time complex tasks could be broken down in into simpler tasks and then grouped together by ‘tag’
Ihor_A 9 Aug 2011
I think it’s not quite true. It is important to see a hierarchy of tasks and the sequence of their execution. Tags do not provide it. These important features should be added. At least for me it is one of the main reasons for choosing a program.

I’ve been testing GID to see if I want to use it long-term, and have generally been impressed. There are a couple of issues that I’m perplexed by. I’m vexed by the same issue that Kathie mentioned earlier in the thread, which I don’t think was addressed: Items I’ve made repeating do not show up in the “Today” box on the day they are scheduled to repeat, but in the Inbox. That doesn’t make sense. Additionally, items that are marked as “repeat after completed” show up in the Inbox each even if the task was not previously completed, so there are multiple instances of that task in my Inbox and Today box. Is there a way to prevent this? Am I doing something wrong? Are you working to change that so that it shows up in the Today box?
Also, GID seems to be inconsistent with how it deals with completed tasks. Sometimes when I check off a task, it disappears immediately; sometimes it stays, crossed off, in the Today box for days. Sometimes it moves to the “completed” folder, sometimes it appears in the “trash” folder. Is there something I’m missing, or doing incorrectly?
I’d appreciate any answers; I’m up against the end of my trial period, and I’m leaning towards purchasing the service, but I’d like to know how to iron these issues out and ending their inconveniences before deciding for certain.
Mike 'Get It Done' Staff 22 Aug 2011
There is a setting in all of the apps that you can specify wether to move completed items immediately to the trash or move them manually.
The ‘Completed’ folder is only a ‘Smart Folder’ where it lists completed tasks that exist anywhere in the system, tasks are not actually stored there, they are stored in the trash.
As far as duplicated tasks, just send us the task title through our feedback form and we will look into it for you.
Derek 22 Aug 2011
Thanks for the response. The answer about the Completed folder clarifies one of the issues. And about the inconsistent behavior of the moving items, perhaps my iPhone app setting and the web app setting are different? I’ll check that.
I’ll send some details about the duplicated tasks on the feedback form.
Jeff 3 Oct 2011
Trying out the app and like it. Is there a way to A)view all tasks at once in a certain area? or B)View all Projects at once with their respective tasks listed under each project?
Thanks
Mike 'Get It Done' Staff 3 Oct 2011
Hi Jeff,
Currently there is no view like these but you can add a comment here requesting the features:
http://getitdone.uservoice.com/forums/25600-general
Thanks
Jeff 4 Oct 2011
Thanks for the quick response Mike. Not a deal breaker anyway. I still think getitdone is the simplest GTD app with just enough features and I’ll keep trying it. Is the program going to keep being developed actively?
Donna 7 Apr 2012
I do not understand the purpose of the check box on recurring tasks that is labeled, “Each copy has a due date.” I can’t find the answer in your help section and I have looked many times.
Thanks for your help.
Mike 'Get It Done' Staff 8 Apr 2012
If you check this box the task that is automatically created will have a due date set within the task. This post might help too:

Daniel Kurtenbach 17 May 2012
Is there any way to sort the tasks in ‘Today,’ ‘Next,’ and ‘Someday’? Alphabetical or by tag? Right now all of the tasks seem to be listed randomly.
Mike 'Get It Done' Staff 17 May 2012
All tasks are ordered by the order you put them in there, you can also reorder the tasks by drag and drop.
